JOB DESCRIPTION

Overall purpose

The Attendance Monitoring Officer plays a central role in supporting student engagement, retention and success by ensuring attendance monitoring processes are delivered accurately, consistently and in line with internal policy and external regulatory requirements.

The postholder acts as a key point of contact for students in relation to attendance concerns, providing a professional, approachable and student-focused service in person, by email and by telephone. A strong customer service mindset is essential, with a focus on clear communication, timely follow-up and constructive support.

Working closely with academic teams, Registry, Student Services, Visa Compliance and other professional services, the role supports the identification of attendance concerns, early intervention activity, accurate record keeping and the actioning of attendance data to support academic engagement and institutional compliance, including UKVI and OfS requirements where relevant.

The Attendance Monitoring Officer is expected to manage attendance-related queries from first contact through to resolution, escalating appropriately and ensuring students are signposted to the right support services where needed.
 

Specific duties and responsibilities


•     Provide a responsive, professional and student-focused service for attendance-related queries in person, by email and by telephone.
•     Act as a key point of contact for students with low, irregular or concerning attendance, explaining expectations clearly and communicating next steps in a supportive and timely manner.
•     Take ownership of attendance-related cases from first contact through to resolution, including follow-up communication, record updates and referral to relevant teams where required.
•     Support early intervention processes for students with low or irregular attendance, working closely with academic and administrative teams to identify concerns and coordinate appropriate action.
•     Notify students of attendance concerns, arrange meetings where required, and support interventions relating to poor attendance, repeated lateness, engagement concerns, return to study and reinstatement.
•     Attend relevant meetings including fitness to study concern meetings, intervention and support meetings, reinstatement meetings and other student case review meetings as required.
•     Monitor attendance data daily, identify trends, investigate discrepancies and ensure records are updated accurately and in a timely manner.
•     Maintain accurate documentation and case records to support internal processes, audit requirements and regulatory compliance.
•     Ensure attendance processes are operated in line with internal policy and external regulatory requirements, including UKVI and OfS requirements where applicable.
•     Work collaboratively with Schools, Registry, Student Services, Visa Compliance, IT Services and other teams to ensure attendance concerns are actioned effectively and consistently.
•     Support students by signposting them to the appropriate academic, wellbeing or professional services where wider support needs are identified.
•     Support the ongoing improvement of attendance monitoring processes, customer service standards, communications and reporting.
•     Support compliance audits and data requests by providing accurate attendance information, case notes and supporting documentation.
•     Provide guidance to staff on attendance procedures, expectations and use of relevant systems when required.
•     Produce, maintain and share attendance reports as required by managers and wider stakeholders.
•     Handle sensitive student information confidentially and in accordance with data protection requirements and internal procedures.
•     Carry out other duties commensurate with the level of the role as reasonably requested by the line manager.

Person Specification

EXPERIENCE & PERSONAL QUALITIES

Essential:

•   Experience in a student-facing, administrative or compliance-focused role.
•   Strong customer service skills, with the ability to communicate clearly, calmly and professionally with students, staff and visitors.
•   Able to manage multiple cases and priorities and follow issues through to resolution.
•   Strong attention to detail and a high level of accuracy in record keeping and data handling.
•   Confident working with sensitive information and maintaining confidentiality.
•   Able to build effective working relationships across academic and professional services teams.
•   Organised, reliable and able to work independently while maintaining deadlines.

Desirable:

•   Experience in an FE or HE environment.
•   Experience of attendance monitoring, student engagement, retention or compliance processes.
•   Awareness of UKVI and/or OfS requirements relating to student attendance and engagement.

TECHNICAL KNOWLEDGE & SKILLS

Essential:

•   Confident using Microsoft packages, particularly Excel, Outlook and Word.
•   Experience using student information systems, databases or case management systems.
•   Accurate record keeping and confidence in producing and maintaining reports.
•   Strong written communication skills for clear, professional student correspondence.
Desirable:

•   Experience using Microsoft Dynamics, attendance platforms or related student systems.
•   Confidence using reporting tools or workflow systems to support case management and process tracking.

Working Conditions:
•   Office-based role with regular interaction across campuses, students, academic staff and professional services teams.

•   The role require working evening and weekends in line with business needs, student support activity or operational requirements.
•   The postholder may be required to attend meetings across sites and support attendance-related activity in different campus locations.
