Role Overview

We are seeking a highly organised and student-focused Registry and student Administration officer to support the smooth delivery of academic and administrative operations. This role plays a key part in student support, cohort administration, class registers, and day-to-day office operations, working closely with academic teams, registry, admissions, and finance.


Key Responsibilities

1. Student & Registry Administration

  • Act as the first point of contact for student-related queries and escalate unresolved matters to the Senior Registry Officer.

  • Coordinate and communicate effectively with the Head of Registry and senior administrative staff.

  • Maintain a strong understanding of cohorts, subjects, pathways, term plans, and timetables to support learners accurately.

  • Provide administrative support for senior staff, board members, and external officials visiting the college.

  • Undertake reception duties, including handling enquiries in person and by telephone.

  • Liaise with domestic and international agents, supporting international enquiries and ensuring timely follow-up with relevant teams.

  • Operate manual and computerised office systems, maintaining accurate records, files, and databases.

  • Print student ID cards, official letters, and maintain records of issued documents.

  • Scan, upload, and update student records accurately on the UNIT-e system.


2. Class Register Management

  • Monitor daily class registers and ensure alignment with the published timetable.

  • Identify missing registers and notify Programme Leaders promptly (by 10:15am, 2:15pm, and 6:15pm).

  • Maintain accurate records of tutor changes and absences, coordinating communication as required.


3. Cohort Administration & Student Monitoring

  • Coordinate post-assessment board communication and ensure grades are accurately recorded on UNIT-e.

  • Monitor attendance and academic performance of assigned cohorts, liaising with Cohort Leaders and Operations Manager.

  • Communicate attendance rules and regulations and assist with disciplinary processes where required.

  • Follow up with students who enrolled but did not commence attendance.

  • Track learner journeys including absences, suspensions, deferrals, deregistration, and inactivation.

  • Act as a key point of contact for students within assigned cohorts, ensuring accurate communication records.

  • Identify and report at-risk students weekly to Cohort and Programme Leaders.

  • Manage student feedback for allocated cohorts and coordinate performance-related communications.

  • Review weekly attendance reports and follow up with students with low attendance.


4. General Administrative Support

  • Prepare meeting packs and assist with photocopying teaching materials when required.

  • Assist with data entry and database management.

  • Support the collection of student registration fees.

  • Provide guidance and advice to students when requested.

  • Produce reports and analysis as required.

  • Provide cover for other administrative functions when needed.

  • Manage post, emails, and official communications.

  • Monitor office supplies and assist with ordering stationery and consumables.

  • Work closely with Admissions and Finance teams.

  • Assist in ensuring premises are secured at the end of the working day when required.


5. Compliance & Professional Standards

  • Comply with Health & Safety policies and legislation at all times.

  • Maintain strict confidentiality and data protection standards.

  • Use mobile phones and internet browsing strictly for work-related purposes.

  • Undertake any additional duties as requested by the Principal in support of college operations and statutory requirements.
